Pricing & Payment Methods
PC Warehouse offers dual pricing for all goods and services.
• The listed and quoted price reflects the card price, which includes a 3.99% card processing fee.
• Customers paying by cash, ACH, or other non-card methods receive a 3.99% discount at the time of transaction.
• Card payment methods include, but are not limited to: Visa, Mastercard, Discover, American Express, Apple Pay, Google Pay, and Samsung Pay.
• Card processing fees are non-refundable.
• Checks are not accepted.
Returns & Exchanges
• A valid receipt is required for all returns or exchanges.
• Refunds are issued to the original form of payment, where applicable.
Unopened Merchandise
• Eligible for a full refund on the same day of purchase.
• May be returned within 7 calendar days of the purchase date:
• Card transactions: 3.99% restocking/processing fee, unless exchanged for an item of equal or greater value

Opened Merchandise

Non-Returnable Items

Unpaid Balances & Payment Disputes
Any unpaid balance, including but not limited to declined payments, returned or reversed transactions,
ACH returns, or credit card chargebacks, must be paid in full before PC Warehouse will provide additional services.
In the event a customer initiates a credit card chargeback or payment dispute, PC Warehouse reserves the right
to restrict or refuse future card-based payments from that customer. In such cases, PC Warehouse may require
payment by alternative methods, including cash or ACH, prior to or at the time of service.
PC Warehouse may suspend or pause service on any equipment in its possession if an outstanding balance or
payment dispute exists. Suspension of service does not affect the customer’s right to retrieve their equipment.
No additional work will be performed until all outstanding balances are paid and service is reauthorized.
System Warranties
New Custom-Built Desktop Systems
• One (1) year limited parts and labor hardware warranty provided by PC Warehouse.
New Laptops, All-in-One Systems & Prebuilt Desktop Systems
• One (1) year limited hardware warranty.
• Warranty coverage may be provided by PC Warehouse, the manufacturer, or both, depending on the product.
Partial, Bare-Bone & Customer-Supplied Systems
(Systems where one or more components are not sourced from PC Warehouse)
• PC Warehouse-sourced components carry a 30-day limited hardware warranty through PC Warehouse.
• Individual components may carry manufacturer warranties beyond 30 days, which must be handled directly with the manufacturer.
• Customer-supplied or outside-sourced components are not warrantied by PC Warehouse.
Previously Owned / Refurbished Systems
• 30-day limited hardware warranty.
Parts & Repair Warranties
• New hardware sold by PC Warehouse: 30-day limited hardware warranty through PC Warehouse.
• Repaired or replaced parts: 30-day limited hardware warranty.
• After the applicable warranty period, customers must pursue any remaining coverage directly with the manufacturer.
Software & Services
• Software, operating systems, licenses, and software-related services are not covered under any warranty.
• No guarantees are made regarding software compatibility, performance, or future updates.
Warranty Exclusions
Warranties are void and do not apply in cases including, but not limited to:
• Physical or accidental damage
• Liquid or moisture damage
• Damage or failure caused by improper maintenance or neglect
• Overclocking or operation outside manufacturer specifications
• Damage caused by faulty or incompatible hardware installation
• Unauthorized modification or repair
Manufacturer Warranties
• Services that require disassembly, repair, or data recovery may void manufacturer warranties.
• PC Warehouse is not responsible for the loss or denial of manufacturer warranty coverage resulting from authorized service.
Limitations
All warranties are limited to repair or replacement of covered hardware only and do not include data loss, software issues, or consequential damages.
Customer Responsibility for Data
• The customer is solely responsible for backing up all data, software, and saved login credentials prior to service.
• Formatting or modifying a storage device erases all data on that device.
• PC Warehouse is not responsible for lost or overwritten data, software, or credentials that were not backed up prior to service.
• Temporary backups, if created, are retained and deleted according to our Data Storage & Secure Data Destruction Policy.
Software, Updates & Configuration
• The customer acknowledges that software updates, operating system installations, hardware upgrades, or repairs may result in loss of data, software, drivers, or device configurations, including external devices such as printers or wireless networks.
• Some programs, devices, or settings may require reinstallation or reconfiguration after service.
• The customer is responsible for providing all required software, license keys, and login credentials needed for installation or setup.
• For security reasons, PC Warehouse does not retain customer login credentials.
Service Risks & No Guarantee
• Computer repair and software services are inherently complex.
• Problems may arise during or after service that are coincidental and not the result of negligence.
• Completion dates are estimates only and are not guaranteed.
• PCW Guardian subscribers receive service priority over non-subscribers.
• Among non-subscribers, customers who purchase priority service receive higher priority than standard service customers.
• Priority service affects scheduling order only and does not guarantee completion times.
Inspection at Pickup
• At pickup, the computer will be powered on and presented to the customer for verification.
• By accepting the equipment and completing payment, the customer acknowledges that service has been performed.
• If an issue is not resolved, the customer may elect to leave the equipment for additional diagnosis rather than claiming it.
Warranties
• Opening equipment may void manufacturer warranties.
• PC Warehouse provides:
• Warranty coverage for products sold by PC Warehouse is described in our Warranties & Warranty Information policy.
• Unless otherwise stated in writing, service labor and configuration work are not warrantied, and any warranty coverage applies only to the specific hardware part(s) replaced or sold.
Fees & Payments
• Labor charges apply to all repairs, upgrades, and installations unless otherwise stated.
• Labor fees are non-refundable and due at pickup.
• Diagnostic fees are non-refundable and due at drop-off.
• Diagnostic fees vary by system type and complexity; additional labor charges will be disclosed at intake.
• Special-order parts are non-refundable.
Storage, Abandonment & Fees
• Equipment not claimed within 90 calendar days of the in-service date may be subject to a $25 per week storage fee.
• Equipment left beyond 90 days may be deemed abandoned.
• Abandoned equipment may be disposed of in accordance with PC Warehouse’s Data Storage & Secure Data Destruction Policy and applicable law.
Post-Service Notification
• The customer agrees to notify PC Warehouse within seven (7) calendar days of pickup if the serviced problem returns.
• Failure to notify within this period may limit further service related to the original issue.
Identification Requirement
• A service receipt, case ID, or sufficient identification is required to claim equipment left for service.
Limitation of Liability
To the maximum extent permitted by applicable law, PC Warehouse shall not be liable for loss of data, software, credentials, business interruption, or consequential damages arising from computer service, delays, or configuration changes, except where prohibited by law.
Acceptance
By authorizing service, I acknowledge that I have read, understand, and agree to this Computer Service Agreement.
Authorization
I authorize PC Warehouse to perform data recovery services as requested. I understand that data recovery is a complex and inherently risky process and that no guarantee is made that any or all data is recoverable.
No Guarantee & Risk Acknowledgment
I acknowledge that:
• Data loss, corruption, or additional failures may occur due to the condition of the storage device and are not necessarily the result of negligence.
• Problems may arise during or after service, even if previous issues appear resolved.
• Completion dates discussed are estimates only and not guaranteed.
Device Terminology
For clarity, the following terms are used:
• Patient Drive – the original device requiring data recovery
• Donor Drive(s) – compatible drive(s) or parts used during recovery
• Destination Drive – the device to which recovered data is transferred
Destination & Customer-Supplied Devices
• All recovered data will be transferred to a destination storage device.
• Customers may purchase a new destination device from PC Warehouse or supply their own new, blank
destination device.
• If a customer supplies a destination device containing pre-existing data, PC Warehouse is not responsible for that data.
• Customer-supplied destination or donor devices may fail due to their condition, and PC Warehouse is not responsible for pre-existing or coincidental failures.
• If a destination device fails, a new data recovery case must be opened.
Donor Drives
• Donor drives or donor parts used during recovery may become permanently damaged or unusable.
• Multiple donor drives may be required depending on the condition of the patient drive.
• Donor drives are consumed during the recovery process and are not returnable.
Formatting & Warranties
• Formatting or modifying a storage device erases all data on that device.
• Opening or analyzing storage devices may void manufacturer warranties.
• Data recovery services are provided without warranty, express or implied, including warranties of merchantability or fitness for a particular purpose.
Retention, Abandonment & Disposal
• Equipment not claimed within 90 calendar days may be deemed abandoned.
• Abandoned equipment may be securely erased, destroyed, recycled, or disposed of in accordance with our Data Storage & Secure Data Destruction Policy and applicable law.
• PC Warehouse is not responsible for items left beyond this period.
Patient Drive Return
• Patient drives are not returned by default after recovery.
• If return is requested, a $70 labor fee applies for reassembly and handling.
Identification & Pickup
• A case ID or sufficient identification is required to claim recovered data and/or equipment.
Fees & Payments
• Testing, analysis, labor charges, and priority service fees are non-refundable, regardless of outcome.
• There is a charge for testing devices in any condition.
Customer Responsibility
• Customers are solely responsible for backing up any data on destination or donor devices they supply.
• PC Warehouse is not responsible for lost, overwritten, or pre-existing data.
Limitation of Liability
To the maximum extent permitted by applicable law, PC Warehouse, its owners, officers, and technicians shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, loss of profits, business interruption, or delayed delivery of recovered data, arising out of or related to data recovery services, whether based on contract, tort, negligence, strict liability, or otherwise, even if advised of the possibility of such damages.
Acceptance
By authorizing data recovery service, I acknowledge that I have read, understand, and agree to the terms of this Data Recovery Service Agreement.
PCW GUARDIAN SERVICES AGREEMENT
One-Year Term - Consumer Service Agreement
This PCW Guardian Services Agreement (“Agreement”) is entered into between PC Warehouse (“Provider,” “PCW,” “we,” “us”) and the undersigned customer (“Customer,” “you”).
By enrolling in PCW Guardian Services, Customer agrees to the terms and conditions below.
1. SERVICE OVERVIEW
PCW Guardian is a proactive, device-based computer maintenance and protection service designed to help keep compatible operating systems and software secure, monitored, and backed up.
PCW Guardian is offered in three service tiers:
• PCW Guardian Basic
• PCW Guardian+
• PCW Guardian Pro
This Agreement applies to all tiers. Features vary by plan as described below.
2. PLAN DEFINITIONS & INCLUDED SERVICES
2.1 Services Included in ALL PCW Guardian Plans
• Automated system performance monitoring
• Operating system and compatible software updates
• Security patch management
• Local image and file backup using a customer-supplied external hard drive
• Automated backup scheduling (default 5:00 PM daily)
• Remote access setup for enrolled devices
• Priority in-store service over non-members
Backup Scheduling Notice:
If the computer is powered off at the scheduled backup time, backups will automatically run the next time the computer is powered on.
2.2 PCW Guardian Basic
Includes all services listed in Section 2.1.
Does NOT include:
• Antivirus software
• Off-site/cloud backups
• Annual dust-removal service
• Free in-store diagnostics
2.3 PCW Guardian+
Includes everything in Guardian Basic, plus:
• SentinelOne Next-Generation Antivirus
• Off-site cloud backup with a base allocation of 1TB per enrolled device
• Additional cloud storage available for purchase in 1TB increments
• One optional annual dust-removal service performed during any in-store visit
2.4 PCW Guardian Pro
Includes everything in Guardian+, plus:
• Off-site image backups preserving:
◦ Operating system
◦ Installed programs
◦ System settings
◦ User data
• Free in-store diagnostics for enrolled devices
• Accelerated recovery options in the event of drive failure
3. DEVICE-BASED ENROLLMENT
• PCW Guardian is sold per device, not per customer.
• Each computer enrolled requires its own Guardian plan.
• Customers with multiple devices must enroll each device separately.
4. CUSTOMER RESPONSIBILITIES
Customer agrees to:
• Provide and maintain a compatible external hard drive for local backups
• Keep the enrolled device powered on periodically to allow maintenance and backups
• Maintain internet connectivity for updates, monitoring, backups, and remote access
• Notify PC Warehouse promptly of alerts or backup issues
• Understand that remote access requires the computer to be powered on and online
5. LIMITATIONS & DISCLAIMERS
5.1 No Hardware Coverage
PCW Guardian does not include:
• Hardware repair or replacement
• Physical or liquid damage repair
• Power surge or electrical damage
• Manufacturer warranty services
Hardware repairs are billed separately.
5.2 Backup Limitations
• Local backups rely on customer-supplied external drives
• PC Warehouse is not responsible for failures caused by defective customer hardware
• Off-site backups are subject to storage limits based on plan tier and add-ons
• No backup system can guarantee protection against all data loss scenarios
Customer remains responsible for verifying critical data.
5.3 Software Compatibility
PCW Guardian supports compatible operating systems and software only.
Unsupported, end-of-life, pirated, or modified software may not be fully supported.
6. SCAMS, SOCIAL ENGINEERING & UNAUTHORIZED ACCESS DISCLAIMER
PC Warehouse and PCW Guardian Services are not responsible for damages, data loss, financial loss, or system compromise resulting from:
• Customer granting access to their computer to third parties
• Phone, email, pop-up, or text-message scams
• Social engineering attacks where Customer is tricked into:
◦ Installing software
◦ Providing passwords, PINs, or verification codes
◦ Allowing remote access
◦ Approving actions under false pretenses
Customer acknowledges that no antivirus, backup, or monitoring service can fully protect against scams where access is voluntarily granted by the user.
PC Warehouse shall not be held liable for losses resulting from:
• Customer actions or approvals
• Customer authorization of third parties
• Impersonation of PC Warehouse, Microsoft, Apple, banks, or other entities
Important Notice:
PC Warehouse will never initiate unsolicited calls requesting remote access, passwords, or payment information. Any such request should be treated as suspicious.
7. SERVICE SOFTWARE, AGENTS & DISABLED SERVICES
PCW Guardian services rely on the continuous operation of essential management, monitoring, security, and backup software components, which may include but are not limited to:
• Remote monitoring and management (RMM) agents (e.g., NinjaRMM)
• Antivirus and endpoint protection services (e.g., SentinelOne)
• Backup, monitoring, and automation services
Customer acknowledges and agrees that disabling, uninstalling, blocking, tampering with, or restricting these services--whether intentionally or unintentionally--will impair or fully disable some or all PCW Guardian services, including but not limited to:
• Antivirus and ransomware protection
• Local image and file backups
• Off-site cloud and image backups
• System performance monitoring
• Automated maintenance and patching
• Remote access functionality
PC Warehouse is not responsible for service failures, data loss, security incidents, or system issues resulting from the disabling or interference of required Guardian software components.
If essential services are found to be disabled, PC Warehouse may suspend Guardian services for the affected device until the issue is resolved. Restoration of services may require additional labor and may be billed separately.
8. SERVICE TERM
• This Agreement is for a one (1) year term beginning on the enrollment date
• Services are billed monthly during the 1-year term
• Pricing is locked for the term unless:
◦ Storage requirements change
◦ Additional services are added
◦ Payment method changes
9. CANCELLATION POLICY
• Customer may cancel service with 30 days written notice
• No refunds are provided for partial billing periods
• Failure to pay may result in suspension or termination of services
10. PAYMENT AUTHORIZATION (RECURRING MONTHLY BILLING)
Customer authorizes PC Warehouse to charge the selected payment method automatically each month for PCW Guardian services.

11. ACH AUTHORIZATION

13. AGREEMENT UPDATES & TERMS OF SERVICE
We may update this Agreement from time to time to reflect service updates, feature changes, pricing adjustments, or legal requirements.
Updates will be posted at:

Changes will apply on a going-forward basis and will not materially reduce plan features during an active paid term, except as required by law, vendor/platform changes, or security-related updates.
If a material change is made, we will provide reasonable notice where practicable. Continued use of PCW Guardian services after the effective date constitutes acceptance of the updated terms.
14. ACKNOWLEDGMENT & ACCEPTANCE
Customer acknowledges that:
• PCW Guardian is a maintenance and protection service, not insurance
• No guarantee is made against all data loss or system failure
• PCW Guardian services require approved management, security, and backup software to remain installed and enabled
• Responsible computer use remains the Customer’s responsibility
Purpose
This policy outlines PC Warehouse’s procedures for the temporary storage, secure handling, and permanent destruction of customer data associated with computer repair, data recovery, and equipment disposal services.
Temporary Data Storage During Service
• During certain repair, upgrade, data-related services, or software-related services, PC Warehouse may create a temporary backup of customer data to protect against accidental data loss.
• These backups are created solely for service continuity, quality assurance, and recovery verification, including situations where:
• A file did not successfully transfer, or
• The customer needs to revert to the system’s prior state following a repair or software change.
• Temporary backups are retained for up to seven (7) calendar days after the customer has picked up their equipment and/or recovered data.
• After this retention period, all temporary backups are securely and permanently deleted unless otherwise agreed to in writing.
Abandoned Equipment & Unclaimed Data
• Equipment and data storage devices left unclaimed after reasonable contact attempts may be deemed abandoned in accordance with applicable local and state laws.
• Abandoned equipment may be recycled, disposed of, or destroyed at PC Warehouse’s discretion.
• Prior to recycling or disposal, all reasonable measures are taken to ensure that customer data is permanently destroyed.
Customer-Requested Equipment Surrender & Recycling
• Customers may voluntarily surrender computers, storage devices, or related equipment to PC Warehouse for recycling or disposal.
• By surrendering equipment, the customer acknowledges that the equipment is permanently relinquished and will not be returned.
• Prior to recycling or disposal, PC Warehouse will take reasonable steps to permanently destroy any accessible data in accordance with this Data Storage & Secure Data Destruction Policy.
• Once surrendered, the equipment becomes the property of PC Warehouse for the sole purpose of secure data destruction, recycling, or disposal.
Secure Data Destruction Procedures
• Functional Data Storage Devices
For functional data storage devices (including but not limited to hard disk drives, solid-state drives, and flash storage):
• PC Warehouse performs a full overwrite of the storage media with zeroes (0s).
• The overwrite process is verified to confirm all accessible sectors have been successfully written, ensuring data is rendered unrecoverable.
• Non-Functional or Damaged Storage Devices
If a storage device is damaged or inoperable to the extent that secure overwriting is not possible:
• The device will be physically destroyed using methods such as, but not limited to:
• Drilling through the drive platters or memory chips
• Other industry-accepted physical destruction techniques
• These methods ensure that data cannot be reconstructed or recovered.
Customer-Requested Equipment Disposal (Declined Service)
• Customers who decline authorized repair, upgrade, or data recovery services and no longer wish to retain their computer or data storage device may request that PC Warehouse dispose of the equipment.
• By requesting disposal, the customer acknowledges that the equipment will not be returned.
• All such disposals follow the same secure data destruction procedures outlined in this policy prior to recycling or disposal.
Limitations & Customer Responsibility
• PC Warehouse is not responsible for data left on devices beyond the stated retention period.
• Customers are encouraged to:
• Maintain their own backups prior to service
• Retrieve their equipment and data promptly upon service completion
• Once data destruction has been completed, recovery is impossible.
Policy Updates
This policy is subject to change without prior notice. The most current version will always be available on PC Warehouse’s website or upon request.
Pest Contamination Risk.
PC Warehouse may accept equipment for service that shows evidence of pest contamination, including but not limited to cockroaches, insects, rodents, insect residue, eggs, or waste. Pest contamination can cause corrosion, electrical shorting, overheating, signal interference, and permanent damage to electronic components.
No Guarantee of Results.
The presence or removal of pests, debris, or contamination does not guarantee that equipment will function properly, power on, or remain operational after service. Damage caused by pest activity may be latent, progressive, or irreversible and may only become apparent during or after inspection, cleaning, testing, or reassembly.
Pest Treatment and Residue.
Where pest treatment products are present in or near the equipment (including but not limited to cockroach bait or insecticides), the customer acknowledges that such products may leave residue or result in dead insects or debris within the equipment. PC Warehouse shall not be responsible for hardware failure, data loss, or operational issues arising from pest treatment, chemical residue, or contamination-related damage.
Limitation of Liability.
PC Warehouse is not liable for any damage, failure, data loss, or loss of functionality caused by or related to pest infestation, contamination, corrosion, electrical shorting, or chemical exposure, whether such conditions existed prior to service or are discovered during or after service.
Non-Repairable Equipment.
Equipment affected by pest contamination may be deemed non-repairable or not economically feasible to repair, even after cleaning or pest elimination.
Right of Refusal.
For health, safety, and contamination-control reasons, PC Warehouse reserves the right to refuse, suspend, or discontinue service on equipment that is severely infested or poses a risk to staff or other customer equipment.
Disclosure of Non-HIPAA Compliance: Customer Acknowledgment: Scope & Data Handling: Limitation of Liability:
HIPAA Acknowledgment & Assumption of Risk
PC Warehouse is not a HIPAA-compliant service provider and does not act as a Business Associate under HIPAA. We do not enter into Business Associate Agreements (BAAs).
This acknowledgment applies only if the equipment or data submitted contains Protected Health Information (PHI).
By submitting this form, you acknowledge that your device may contain protected health information (PHI), confirm you are authorized to release such data, and accept all HIPAA-related responsibility.
Services are technical in nature. Temporary backups may be created and retained in accordance with our Data Storage & Secure Data Destruction Policy.
PC Warehouse is not responsible for HIPAA compliance, penalties, or regulatory obligations arising from your use of a non-HIPAA-compliant service provider.Return to index
